Here you enter the names of those who wrote the reference. If the author is unknown (as might be the case in a newspaper article and some reference books), nothing should be entered.
+ Names must be entered the same way each time. If you don’t enter names in this
manner, the formatting options in Bookends won’t work correctly!
Each author is placed on a separate line and is entered:
Surname, First name(s) or Initials
Since names are quite varied, it’s important they are entered in a uniform manner. The last name (surname) comes first and is followed by a comma. First names or initials come next. Each name is entered on a separate line by pressing Return after the first name or initials.
Here are some examples of how names should be entered:
Williams, Allan Edmunson, David Henry
Frederick, Orvile Harley, Mary
Initials can be succeeded by another initial, a period, a space, or by nothing. These are all acceptable ways of entering the information:
Doe, J. M. Doe, J M
Doe, J.M. Doe, JM
You don’t need to put periods after initials, because you can place punctuation after the initial when you design the format for printing.
+ If you plan to enter initials for some authors and full names with middle initials for
others, the above statement may be a bit misleading. If you choose to print full first
names when formatting, the first name is output exactly as entered. So, if you enter
full names (e.g. Robert F. Kennedy) and want periods and spaces after the middle
initials when outputting full names, include the periods and spaces after the initials.
There are times when you might want to enter information for an author other than just the name. This might be Ph.D. or M.D. This is easily done by following the last name with a semicolon, then entering the phrase, a comma, and the first name. Some examples are:
Wilson; M.D., Diane Franklin; Jr., Robert
Smith; Ph.D., Marilyn Jones; Ph.D., Harold
When Bookends formats the references, it automatically replaces the semicolon with a comma. The “M.D.” or “Ph.D.” will appear whether full names or initials are used for output.
